How many people fit in a 20x20 party tent?

A 20x20 tent covers 400 square feet. That seats about 32 to 40 guests at round tables, or holds roughly 50 to 65 people standing with a drink in hand. The math is about 10 to 12 square feet per seated guest and 6 to 8 per standing guest.

The catch is everything else that wants to be under the roof. A buffet, a dessert table, a gift table and a DJ all take floor space from seating. Each 8-foot buffet table with a serving line costs you roughly 6 to 8 seats, so count the food before you count the chairs.

Tent size Square feet Seated at round tables Standing or cocktail
20x20 400 about 32 to 40 about 50 to 65
20x30 600 about 50 to 60 about 75 to 100
20x40 800 about 65 to 80 about 100 to 130
30x30 900 about 75 to 90 about 110 to 150

20x20 vs 20x40 tent rental for a backyard party

The 20x20 is the workhorse of backyard parties, and for 30 to 40 seated guests with the food outside it's the right call. Past 40, or once the buffet moves under cover, skip the 20x30 and go straight to the 20x40. That extra 10 feet is the difference between a buffet line that flows and one that backs into the tables.

Measure the yard before you pick. A tent needs flat ground plus a few feet on every side for stakes and ropes, so a 20x40 wants a level strip of roughly 30 by 50 feet. A 20-foot-wide tent fits most suburban backyards and side lawns. Long and narrow is easier to place than square.

Canopy vs party tent: which one you need

A pop-up canopy (10x10 or 10x20) shades a food table or a few chairs. It has a light frame and weighted legs, and it isn't built to handle a gusty afternoon with 40 people under it. A party tent is a different piece of equipment: a frame or pole tent that's staked or ballasted, seats a crowd and takes sidewalls and lighting.

Party tents come in two styles. Pole tents have center poles, stake into grass and usually cost less than a frame tent of the same size. Frame tents have no center poles, so every square foot is usable, and they can be weighted down on a driveway or patio.

If you're actually planning a wedding, the wedding tent rental page covers the bigger sizes, sailcloth and clear-top options.

Tent sidewalls for rain, wind and sun

A tent with no walls keeps rain off heads and not much else once the wind picks up. Sidewalls come solid, with windows or clear, and most tent companies can hang them on any side. Put a solid wall on the side the weather comes from, or on the side facing the neighbors, and leave the rest open for air. In late afternoon a single wall on the west side does more for comfort than any fan.

Ask whether the walls can stay on site rolled up. That way you decide the morning of the party based on the forecast, not two weeks earlier.

Graduation party tent rentals for late June

Capital Region graduation parties pile onto the same few late-June weekends, when Shenendehowa, Niskayuna, Bethlehem and the rest of the area's high schools all finish up around the same time. If your party lands there, request a quote in the spring.

Grad parties are open houses: guests come and go over four or five hours, so you don't need a seat for every name on the list. Seat about half to two thirds of the guest count and give the rest standing room near the food. For 80 invited guests, a 20x30 or 20x40 with seating for 50 is plenty. Add table and chair rentals to the same order so everything arrives on one truck, and use the graduation party checklist to plan the rest.

Party tent rental on grass, driveways and city lots

Grass is the easy case. Pole and frame tents both stake into a lawn, and the stakes go deep, so call 811 before the party to have buried lines marked. Driveways and patios need a frame tent held down with weights instead of stakes. Tell us which you have when you ask for a quote.

City yards set their own rules. In Albany's Pine Hills a narrow backyard often means a 20x20 or a frame tent on the driveway, while the big lots in Clifton Park and Niskayuna can take a 20x40 with room to spare. See tent rental in Albany, NY, Clifton Park and Niskayuna for local details, or call (518) 464-8736 with your date, town and guest count.

Party tent rental FAQs

How much does it cost to rent a party tent?

The price depends on the tent's size and type, any sidewalls or lighting, how many tables and chairs go under it, and how far it travels. A pole tent staked into grass usually costs less than a frame tent of the same size weighted down on a driveway. Send your date, town and guest count for a free quote.

Is it cheaper to rent a tent than buy one?

For a party you throw once or twice, renting almost always wins. A tent big enough to seat 40 is heavy, takes several people to raise and needs dry storage all winter, while a rental shows up, goes up and comes down. Buying only makes sense for a small pop-up canopy you'll use every summer.

How far ahead should I book a party tent for a graduation party?

Book as soon as you have the date. Late-June weekends are when most Capital Region graduation parties happen, so the popular 20x20 and 20x40 sizes are the first to go for those dates.

Do I need a permit for a party tent?

Sometimes. Tents over a certain size may need a permit or inspection from your town or city, so check with the local building or fire department a few weeks before the party.
