Graduation party checklist: the short version
Pick the date first and tell other families in the class. Book the tent, tables and chairs two to three months out. Send invitations four to six weeks ahead and order food. A week before, confirm your rental counts and prep the yard. On party day, set up early and keep the food shaded.

When to book graduation party rentals in the Capital Region
Earlier than you'd think. Capital Region graduation parties cluster in late June, which means families all over Albany, Schenectady, Saratoga and Rensselaer counties want the same two or three Saturdays. Tent companies only have so many 20x40s, and each one usually covers a single party per weekend.
Book graduation party rentals as soon as the date is set, ideally by early spring. If late June is already tight when you call, a Sunday or a Friday evening often has more availability, and some families push the party to the first weekend of July.
Before you lock the date, check with the families of your graduate's closest friends. Overlapping open houses split the guest list, and the kids will want to be at each other's parties.
Graduation party checklist, week by week
8 to 12 weeks out: date, guest list and party tent
- Set the date and time window (a four-hour afternoon open house is common)
- Draft the guest list, then estimate the peak crowd at about half to two-thirds of it
- Measure the yard and pick a tent size with our tent size calculator
- Book the tent, tables and chairs in one order
4 to 6 weeks out: invitations, food and tables
Send the invitations with a clear time window, which spreads arrivals out. Order the food: a caterer, a sub shop's party platters or a family grill crew all work, but trays need table space, so count your food tables now. Plan one 8-foot banquet table per main food station and another for drinks. Ask about cocktail tables if you want standing spots for guests to set down a plate.
1 week out: final rental count and yard prep
Confirm your rental counts against the RSVPs. Mow a couple of days before delivery, mark sprinkler heads and anything buried, and clear a path from the driveway to the tent. Check the forecast midweek and decide whether you want sidewalls.
Party day: setup, food and cleanup
The tent usually goes up the day before. Set the photo board and memorabilia table first thing, get coolers iced before guests arrive, and keep food out of direct sun. Leave room in the plan for cleanup: someone needs to stack chairs and bag trash before the pickup window.
Graduation party tent: size and setup
Size the graduation party tent for the busiest hour, not the full invite list. Open houses run in waves, so a 150-person invite list may only mean 70 or 80 people at peak. For seated guests, plan about 11 square feet per person; for a crowd that mostly stands, about 7.
A few common setups:
| Peak crowd | Tent | Notes |
|---|---|---|
| 30 to 40 | 20x20 | Put food under a separate 10x10 or 10x20 canopy |
| 50 to 75 | 20x30 or 20x40 | The 20x40 leaves room for the food line |
| 75 to 120 | 20x40 or 30x40 | Mix seated tables with standing room |
A long 20x40 often fits a suburban backyard better than a square 30x30, especially on the narrow lots common in older parts of Albany and Troy. Frame tents can sit on a driveway or patio with weights, which helps when the lawn is small. Our party tent rental page covers 20x20 and 20x40 tents, canopies and sidewalls in more detail.
Rent sidewalls for at least one side. June afternoons can turn stormy fast, and a sidewall on the windward side keeps the food table dry. String lights are worth adding if the party runs past 8 p.m.
Tables, chairs and food setup for a graduation party
Plan chairs for about half to two-thirds of the peak crowd. Teenagers stand, grandparents sit, and the rest of the guests drift between the two. Round tables encourage people to sit and talk; banquet tables in rows fit more people into a narrow tent. A 60-inch round seats 8, and a 6-foot banquet table seats 6 to 8.
Beyond guest seating, you'll want tables for:
- Food, at least one 8-foot banquet table per station
- Drinks and the cooler line, set apart from the food
- Photo boards, the diploma, jerseys and other memorabilia
- The card box, near the entrance where someone can keep an eye on it
White folding chairs are the standard, and tablecloths make rented tables look finished in photos. Our table and chair rentals page explains common table sizes and linen options.
